Privacy Policy

This Privacy Policy explains how AlterAim, LLC d/b/a Samurai Clarity ("Company," "we," "us," or "our") collects, uses, discloses, and protects information in connection with Samurai Clarity (the "Service"). This Policy is part of, and should be read together with, our Terms of Service.
If you are a call participant whose voice or conversation was recorded by one of our business customers and processed through the Service, please see Section 4 ("If You Are a Call Participant, Not a Customer") below. That section describes our role with respect to your information specifically.
1. Information We Collect
Account information. When you or your organization sign up, we collect your name, work email, phone number, password (stored as a salted hash, never in plain text), organization name, and role.
Customer Content. To provide the Service, we receive and store call recordings, call transcripts, and metadata (such as call date, duration, and participant names as they appear in the transcript) from the call sources Customer connects (currently Fathom, with more planned), together with the AI-generated scores, coaching notes, and other analysis we produce from that content ("Customer Content").
CRM and contact data. If Customer connects a CRM integration (currently GoHighLevel), we receive contact records, appointment data, and related fields that Customer's CRM already holds, so the Service can match calls to the correct prospect or client record.
Payment information. Subscription payments are processed by Stripe. We do not receive or store full payment card numbers; Stripe provides us only the information needed to manage your subscription (such as plan, billing status, and a masked card identifier).
Usage and device information. We and our analytics provider (PostHog) automatically collect information about how the Service is used, such as pages viewed, features used, browser type, and IP address, to operate, secure, and improve the Service.
Information about people who are not our direct users. Because the Service analyzes sales calls, Customer Content necessarily includes personal information about the other participants on those calls (for example, a Customer's prospects or clients), who are not users of the Service and have no direct relationship with us. See Section 4 for how we handle this.
2. How We Use Information
- To provide, maintain, and secure the Service;
- To process Customer Content through our AI analysis pipeline and generate scores, coaching feedback, and related AI Output against Customer's configured scoring framework;
- To process payments and manage subscriptions;
- To communicate with you about the Service, including support, security notices, and (where you have not opted out) product updates;
- To monitor, debug, and improve the reliability and performance of the Service;
- To detect, investigate, and prevent fraud, abuse, and security incidents; and
- To comply with law and enforce our Terms of Service.
We do not sell personal information, and we do not use Customer Content to serve you third-party advertising.
3. AI Processing and Subprocessors
To generate AI Output, we transmit relevant portions of Customer Content to third-party artificial intelligence providers, currently Anthropic (Claude models), under contractual terms that prohibit that provider from using Customer Content to train its underlying general-purpose models. We rely on our vendors' own commitments in this regard and do not independently verify each underlying model provider's training practices; if you require stronger contractual assurances on this point, contact us before submitting Customer Content that requires them.
We use the following categories of subprocessors to operate the Service. This list may change as the Service evolves; contact us for the current list.
- Anthropic, artificial intelligence analysis of call transcripts;
- Supabase, database hosting and storage of Customer Content and account data;
- Vercel, application hosting;
- Stripe, payment processing and billing;
- Resend, transactional email delivery;
- Fathom (and, as added, other call-recording sources Customer chooses to connect), source of call recordings and transcripts;
- GoHighLevel, CRM data, where Customer enables that integration, and delivery of our own account and marketing text messages described in Section 10; and
- PostHog, product usage analytics.
Each subprocessor receives only the information it needs to perform its function and is bound by contractual or platform terms requiring it to protect that information.
4. If You Are a Call Participant, Not a Customer
If you spoke on a call that one of our business customers recorded and submitted to the Service, we process your voice, words, and related personal information as part of that customer's Customer Content, but we do not have a direct relationship with you, we did not decide to record you, and we did not obtain (and are not responsible for obtaining) your consent to be recorded. Our customer, as the party who recorded the call, is responsible for determining what notice or consent applicable law required from you and for providing it.
With respect to your information contained in Customer Content, we act as a service provider or data processor on behalf of our customer, who is the data controller. If you wish to exercise a privacy right (such as access, correction, or deletion) over information about you contained in a recorded call, please direct your request to the business that recorded the call. If you contact us directly, we will make reasonable efforts to identify the relevant customer and either forward your request or assist that customer in responding, but we may need to direct you to that customer to complete the request, and we may decline to act directly on Customer Content without our customer's instruction except where required by law.
5. Data Retention
We retain Customer Content for as long as Customer's subscription is active, plus a limited period after termination to allow for export, as described in our Terms of Service, unless Customer requests earlier deletion or a shorter period is required by law. We retain account and billing information for as long as needed for legitimate business purposes, including accounting, tax, audit, and legal-compliance requirements, after which we delete or de-identify it.
6. Your Rights
Depending on your location, you may have rights to access, correct, delete, or receive a copy of personal information we hold about you, to object to or restrict certain processing, and to opt out of certain disclosures. If you are a Customer user, you can exercise most of these rights directly within the Service or by contacting us at the address below. If you are a call participant, see Section 4. We do not discriminate against anyone for exercising a privacy right.
7. Data Security
We use technical and organizational measures designed to protect personal information, including encryption in transit, access controls, and database-level tenant isolation so that one customer's data is not accessible to another. No system is perfectly secure, and we cannot guarantee the absolute security of any information.
8. International Data Transfers
We and our subprocessors may process and store information in the United States and other countries. Where required, we rely on appropriate safeguards, such as standard contractual clauses, for transfers of personal information out of the European Economic Area, the United Kingdom, or Switzerland.
9. Children's Privacy
The Service is intended for business use by adults and is not directed to, and we do not knowingly collect personal information from, individuals under 18 years of age. If you believe a minor has provided us personal information, contact us and we will take appropriate steps to delete it.
10. Text Messaging (SMS) Communications
If you provide a phone number when creating an account, we use it to send text messages related to your account, such as security and workspace alerts ("transactional messages"), and, only if you separately opt in, marketing and promotional messages. We also use the phone number you provide to determine whether it has already been used to create the maximum number of free workspaces our plans allow, to prevent abuse of free trials.
Message frequency varies. Message and data rates may apply. You may opt out of any text program at any time by replying STOP, or request help by replying HELP. Opting out of marketing messages does not opt you out of transactional account messages, which are part of operating the Service for as long as you maintain an account.
Text messaging originator opt-in data and consent will not be shared with any third parties, except as needed to deliver the messages themselves (our SMS delivery subprocessor, listed in Section 3).
11. Cookies and Similar Technologies
We use cookies and similar technologies, and our analytics provider (PostHog), to keep you signed in, remember preferences, and understand how the Service is used. You can control cookies through your browser settings; disabling cookies may affect the functionality of the Service.
12. Changes to This Policy
We may update this Policy from time to time. If we make a material change, we will provide notice, such as by email or an in-product notice, before the change takes effect. The "Effective" date at the top of this page reflects the last update.
