The bell in the top bar: what it tells each role, the few things that also email, and how to keep it to your working day.

The bell and its number
The bell sits in the top bar on every page of the workspace. Press it and a panel opens: from the right on a computer, from the bottom on a phone.
The number on it only counts what needs you. Some notifications are just good news, such as a client paying. Those show in the list but never add to the number, so a number on the bell always means something is waiting for you to act. Above nine it reads 9+.
Each line is one sentence naming the people involved, and pressing it takes you to the page where you deal with it: the lead, the deal, or the settings page that fixes it. Mark all as read clears the number without opening anything. With nothing waiting, the panel says Nothing needs you right now.
Notifications clear themselves
You never have to tidy the bell. When the thing behind a notification is sorted, it moves to Done at the foot of the panel with what happened, such as Paid., Reconnected. or Working again., whoever sorted it. Done keeps a week of them. Something you have read but that is still open stays in the list for 30 days.
The same thing never arrives twice. A second failed attempt at the same payment updates the one line and marks it unread again, rather than adding another.
What each role is told
Each notification goes to the people who can act on it, and to nobody else. Your Preferences page lists exactly the ones your role can receive.
| Notification | Who gets it | When |
|---|---|---|
| A lead handed back to rebook | The setter who booked it | A closer sends a booked lead back as a No-Show, as cancelled, or as not the right fit. See When a booked meeting does not happen. |
| A yes is going cold | The setter | A lead said yes at least 12 hours ago and still has no call booked. |
| A call you booked closed | The setter | A meeting they booked turned into a paid deal. |
| Signed but not paid | The deal's owner | The client signed two working hours ago and has not paid. |
| A client paid | The deal's owner | Any payment on the deal, with what is still to come. Good news, so it never adds to the number. |
| A payment did not go through | The deal's owner, and their managers in the bell | A payment is declined, or the plan is marked as defaulted after its last try. |
| Your call recorder stopped | The person whose recorder it is | Their Fathom connection dropped, or no calls have arrived from it in 5 working days when they usually record at least 5 a week. |
| Outreach messages waiting for approval | Owner, admin, manager | A script from the team or a suggestion from the AI is waiting. See Who approves what. |
| An outreach message stopped working | Owner, admin, manager | A script was retired, or the main one stopped booking, and what happens next. |
| Calls are not being scored | Owner, admin | The workspace's Anthropic key is missing or was refused, so calls, lead finding or new outreach messages are waiting. |
| Lead finding stopped | Owner, admin | The nightly search could not run: its key is missing or was refused, or its account is out of credit. |
| Trial ending | Owner | Three days before the trial ends with no card on file, and again the day before. |
The deal's owner is whoever owns the deal, whatever their role: a rep, or a manager or owner who takes calls themselves. Setters never get these.
Managers hear about their own reps. When a rep's payment is declined, the managers they are assigned to get a copy in the bell. A rep with no manager has their copy go to the owners and admins instead. Nobody gets a copy about themselves, and only the person who can fix it is emailed.
The five that also email
Email is kept for the moments when money or the service is at risk and you might not open the app in time. Only five notifications ever email:
- A payment did not go through, to the deal's owner. A quick message to the client usually fixes it.
- Your call recorder stopped, to the person whose recorder it is.
- Calls are not being scored, to owners and admins.
- Lead finding stopped, to owners and admins.
- Trial ending, to the owner.
Email only goes out inside your working day. Anything that happens overnight or at the weekend waits, and is sent when your day starts. If it was sorted before then, the email is never sent at all.
A problem that carries on is one email, not one a day. If the key is still missing tomorrow you are not emailed again; if it is fixed and then breaks again, that is new, and you are.
Everything else lives in the bell only, and you can turn the email off for any of the five. See Choosing what reaches you.
Your working day
Settings › Preferences, the card Your working day. Pick when your day Starts and Ends, to the quarter hour, and press Save. Until you change it, your day is 8:00am to 6:00pm. Working days are Monday to Friday, minus the holidays your workspace has marked.
It decides two things:
- When the bell shows things that can wait. Most notifications raised overnight appear when your next working day starts, rather than piling up while you sleep.
- When email may be sent. Only inside these hours.
A few notifications cannot wait, so they appear in the bell at once, whatever the hour: a client who signed and has not paid, calls not being scored, your call recorder stopping, and the last day of a trial. Their email still waits for your day.
The hours are in your own time zone, the one set on the same page. If you never set one, the app learns it from your browser the first time you use it, and never changes one you chose. Until it knows, the card says your hours are in UTC.
Choosing what reaches you
From the bell. Each line carries a Stop these button. Press it and that kind of notification stops reaching your bell, and the panel says Stopped. You can turn them back on in Preferences.
From Preferences. The Notifications card on Settings › Preferences lists every notification your role can receive, with a Bell switch and an Email switch. Each saves the moment you flip it, and only affects you.
- Bell only in the Email column means that notification never emails, so there is nothing to turn off.
- Turning the bell off for one of the five that email turns its email off with it, and the column reads Off with the bell.
- Trial ending cannot be taken out of the bell, because money is involved. Its email can still be turned off.
