Setting up a workspace
Seven steps, in this order. The first one blocks everything else.

The seven steps
Work down the list in order. Each step is more useful once the one above it is done.
Add your Anthropic API key
Settings › Integrations, first card. Owner or admin only.Create a key at console.anthropic.com, paste it in, and make sure that Anthropic account has a payment method.
Nothing is analysed before this. Do it first.
Connect Fathom, one person at a time
Settings › Preferences, first card.Everybody connects their own account, including the owner. The connection is what tells us whose calls these are, so an admin cannot do it for somebody else.
Once connected, you can pull in recent history rather than waiting for the next call.
Fill in the playbook
The
Playbooktab, under What we sell. This is what the analyzer grades against, so a thin playbook produces thin coaching. At minimum: the company overview, your ideal customer profile, and one offer with its core pillars and common objections.
You do not have to type it from scratch. Generate with AI drafts it from your website, your sales documents and your notes, and you edit the draft before any of it goes live.
Check your call types
The
Playbooktab, under How we grade calls. Four are created for you: Discovery, Demo / Presentation, Closing, and Follow-up.Rename, recolour, reorder, archive, or add your own so they match how your team actually sells.
Then answer both questions on each card. The first decides which calls get sorted into that type, the second is what a call of that type is graded against.
Invite the team
The
Teamtab. Invite each person with the role they hold.Setters do not consume a paid seat.
Assign reps to their managers
Also on
Team. Owner or admin only.A manager with no reps assigned sees nothing but their own work. This is the step people forget, and the symptom is a manager reporting an empty app.
Set your timezone
Settings › Preferences. Personal, so each person sets their own.It decides where your day starts and ends, which drives the dashboard, the day planner, and when follow-ups come due.
Worth doing later
None of these block anything. Add them when you need them.
- GoHighLevel, under
Settings › Integrations. Matches calls to contacts you already have and puts scheduled appointments on the dashboard. - Webhooks and the end-of-day report, under
Settings › Automations. Pushes activity into Zapier, Make, or your own tooling. - Outbound lead settings, under
Settings › Sales. Only if setters will work leads inside the app.
