Inviting someone

The Team tab, top card. Owner and admin only.

An owner can invite at any role. An admin can invite at admin and below, so an admin cannot create an owner.

The invitation is a one-time link sent by email. It is also shown on screen once you send it, so when the email does not arrive you can copy the link and pass it on yourself rather than waiting on a mail server.

Anything still outstanding sits under Pending invitations with its role and its expiry date, and carries the same copy-link button plus a Revoke.

Assigning reps to their managers

A manager with no reps assigned sees nothing but their own work. This is the single most commonly skipped step in setting a workspace up, and the symptom is a manager reporting an empty app.

The Manager assignments card appears on the same page as soon as the workspace has a manager in it. Owner and admin only.

A manager cannot assign reps to themselves, and that restriction is deliberate rather than an oversight. A manager can read the calls of the reps assigned to them, so being able to create that assignment would be a way to grant yourself sight of anybody in the workspace.

Changing somebody's role

Each member row carries a role selector. An owner can change anyone. An admin can only change people below admin, so admins cannot promote each other or touch the owner.

Search the list by name or email when it gets long.

  • Promoting a setter to a paid role needs a free seat. The paid options are greyed out and marked (needs a seat) when there is none spare, because a free role becoming a paid one is a new person to bill for.
  • Moving between two paid roles is free. A rep becoming a manager is already paid for, so nothing is charged and nothing is blocked.
  • The last owner cannot be demoted. Promote somebody else to owner first. A workspace with no owner has nobody who can pay for it.

When somebody leaves

Removing a member is deliberately harder than adding one.

  • You cannot remove your own membership. Ask somebody else to.
  • An admin cannot remove an owner or another admin.
  • The last owner cannot be removed at all, for the same reason they cannot be demoted.
  • Removal is refused while they still hold contacts, whether they own those contacts or only follow them. This is a gate, not a warning, and there is no way to click past it.

The Contact ownership card on this same page is what clears it. It lists who is holding what and moves everything one person holds, owned and followed together, to somebody else in one go. Owner and admin only, because it sweeps up contacts a manager is not meant to be able to see.

The new owner inherits the call history so they can pick the conversation up. Followers keep sight of the contact record only. More in Who owns a contact.
